Liquid Filter Bag Lot Traceability: What to Put on the PO
Liquid filter bag lot traceability starts with an order requirement that can be checked at delivery. A part code identifies the bag specification; a lot identifier connects supplied bags to a defined manufacturing batch. Keeping both identifiers with stock and installation records helps a buyer investigate a problem without treating every bag of the same grade as one batch.
This guide proposes a practical purchase-order and receiving workflow for INCEFILTER liquid filter bags. Label formats, marking locations and supporting records must be agreed for the quoted order; they should not be assumed from a general catalogue description.
Separate the product code, lot and purchase order
| Identifier | Purpose | Common mistake |
|---|---|---|
| Supplier product code | Identifies the ordered construction and grade | Using a micron value as the entire product identity |
| Supplier lot identifier | Connects the supplied quantity to the supplier’s batch records | Treating a delivery date as a manufacturing lot |
| Buyer purchase order and line | Connects receipt to the commercial and technical agreement | Assuming one PO always contains one lot |
| Buyer stock or installation record | Shows where the received bags were stored or used | Discarding the only lot label when opening the carton |
GS1’s traceability guidance distinguishes product identification from batch/lot identification and the records of movement through a supply chain. The same practical distinction is useful when designing a filter-bag receiving process. This workflow does not require or claim that an INCEFILTER order uses a GS1 identifier.
Agree the label information before dispatch
Ask the supplier to confirm which identification appears on the outer carton, inner package and, if appropriate, the bag itself. Any direct marking must be compatible with the intended service and agreed construction; do not add ink, labels or adhesive to a liquid-contact surface without approval.
The purchase-order label schedule can request:
- Supplier name and agreed product code.
- Media, stated filtration grade, size and ring or collar configuration.
- Supplier lot identifier and quantity represented by that label.
- Purchase-order number and line reference.
- Any agreed document references and handling instructions.
Agree how multiple lots within one shipment will be separated and listed. A carton-level code is useful only while staff can still connect the bags inside it to that code.
Use a purchase-order clause that can be verified
An example enquiry clause is: “Please confirm the lot-identification format and label locations for this order. List each product code, lot identifier and quantity on the packing record. Keep different lots identifiable during packing and advise which supporting manufacturing or inspection records can be supplied.”
This is a request for supplier confirmation, not a statement that every document is routinely available. If a certificate or inspection report is essential, specify its required content and agree availability before placing the order. Traceability alone does not prove filtration efficiency, material suitability or compliance.
Preserve the link after the carton is opened
At receipt, match the labels and quantities to the PO and packing record. Photograph or scan the original label if your receiving system permits it. When splitting a carton into smaller stock locations, transfer the original supplier lot reference into the new stock record rather than inventing a replacement supplier lot.
If labels are missing, mixed or contradictory, hold the affected stock pending clarification. Staff should not infer the lot from appearance, bag colour or delivery date.
Connect the bag lot to the installation record
A compact internal log can contain the installation date, equipment identifier, product code, supplier lot, quantity used and operator reference. When investigating a filtration issue, add the removal date, observations and relevant process conditions. Keep the bag lot separate from the lot number of the liquid being processed.
For operating observations, use a filter differential pressure log. For a new product evaluation, the liquid filter bag trial guide helps define acceptance and cost records. Neither record replaces the supplier’s original lot identity.
Prepare an enquiry for INCEFILTER
Send INCEFILTER your bag specification and identification requirements. Include the liquid and operating conditions, media preference, bag dimensions, ring style, quantities, package sizes and the records your receiving team needs. Request confirmation of the proposed labelling and documentation with the quotation.
