Filter Cartridge Substitution: Approve Changes Before Reordering
A repeat order can become a new technical decision when the supplier proposes a different cartridge code, seal material or construction. “Same micron rating” is not enough to demonstrate that the replacement meets the approved requirement. Make the proposed differences visible before purchasing releases the order.
This guide provides a buyer’s review process for INCEFILTER liquid filter cartridges. It does not claim interchangeability between specific products or authorize a substitute for a qualified process.
Start from the approved baseline
Collect the original purchase specification, full cartridge code, drawing revision and any trial approval. Record the application and housing in which approval was granted. If the only available record is a photograph or a shortened stock description, mark the missing details as unconfirmed.
Ask the proposing supplier to explain why the substitution is requested and exactly what changes. A shorter lead time or lower price is a commercial reason to review an alternative, not evidence that it is technically equivalent.
Use a difference table instead of an equivalence label
| Review area | Compare the approved and proposed items |
|---|---|
| Mechanical interface | Finished dimensions, end configuration, sealing surfaces and retention details |
| Wetted construction | Media, support, core, end parts, seals and joining materials where applicable |
| Filtration evidence | Rating definition, efficiency report, test conditions and relevant limitations |
| Operating envelope | Applicable flow, temperature, pressure and differential-pressure limits |
| Required documents | Evidence linked to the actual product code and intended application |
| Supply control | Identification, packaging, lot reference and future change notification |
Use three review outcomes for each row: confirmed unchanged, changed with evidence attached, or not yet confirmed. An empty cell should not silently become an assumption of equivalence.
Separate dimensions from performance approval
A cartridge may fit mechanically while using a different material or having a different documented filtration response. Review the efficiency evidence and its test basis separately from dimensional fit. Do not compare a percentage efficiency without checking the stated particle size and conditions.
If the proposal concerns a high flow assembly, also use the high flow compatibility checklist. A familiar nominal length does not resolve the entire housing interface.
Keep documents tied to the proposed product
Pall’s public conformance-information page separates statements by product family and, in some cases, product code grouping. This illustrates the need to check document scope rather than treating a supplier’s general statement as proof for every cartridge.
Request the documents actually required by your project for the proposed item. Confirm their issuer, revision, covered product and use conditions. A document belonging to another manufacturer or another construction does not establish compliance of the proposed INCEFILTER cartridge.
Define whether approval is limited or permanent
A useful approval record states the old and new codes, the differences accepted, supporting evidence, approving person and scope. For example, a trial approval may permit only a specified evaluation quantity in one process; it should not automatically authorize all future orders.
When evidence is incomplete, agree what testing or clarification is needed before use. The trial sampling plan guide can help define how a process trial will be judged. Keep the proposed stock identifiable while its approval status is unresolved.
Make the purchase order reflect the decision
Reference the approved product code and revision in the order, and specify how any further proposed change should be communicated. On receipt, compare the label and supplied documents with that record before releasing the cartridges for installation.
Send INCEFILTER your current cartridge specification and proposed change requirements. Include the application, housing details, required evidence and order quantity so the quotation can identify confirmed matches, differences and unresolved questions.
